Reporting to the Executive Director, the Executive Assistant is responsible for providing comprehensive support to the Executive Director and Board of Directors. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems, with a high level of professionalism and confidentiality.

Job Responsibilities

Essential Duties
  • Acts as the point of contact among the Executive Director, Board of Directors, team members, donors, and other external partners, ensuring consistent, effective communication
  • Manages information flow in a timely and accurate manner, anticipating needs and proactively reducing Executive Director’s email burden
  • Manages Executive Director’s calendar and set up meetings and prep time
  • Manages the Executive Director’s email inbox, delegating next steps to other employees, sending responses as the Executive Director, and flagging emails that require a direct response
  • Supports Board of Directors Meetings: create and disseminate agendas and pre-reads; schedule and set up conference room; take meeting minutes
  • Prepares Executive Director’s expense reports
  • Makes occasional travel and accommodation arrangements
  • Formats information for internal and external communication – memos, emails, presentations, reports
  • Organizes and maintain the Board and Leadership Team SharePoint libraries
  • Supports projects for the organization as assigned, which may span event logistics, program support, or Advancement projects
  • Other tasks as assigned
Required Qualifications & Competencies
  • 2+ years of experience in Advancement or as an Executive or Administrative Assistant
  • Bachelor’s or Associate’s degree
  • Excellent written and verbal communication skills
  • Outstanding organizational skills, time management skills, and excellent attention to detail
  • Masterly level skills in Microsoft Office, specifically Outlook, PowerPoint, Word, and Excel. Knowledge of Microsoft Teams and Flow, as well as Zoom administration is a plus.
  • Demonstrated emotional maturity
  • Demonstrated professionalism in communications and ability to handle confidential information with discretion
  • Bilingual – Spanish/English
