Reporting directly to the Operations Director, the Operations Assistant is the first point of contact for our families, vendors, and visitors, serving as the organization’s ambassador, ensuring high standards of service, aligned to organizational mission, vision and goals, and supporting a culture of respect, trust, empowerment, and equity.

Job Responsibilities

Essential Duties
  • Front Desk Duties and Operations Support
  • Answer Phones and Transfer Calls
  • Greet and Receive Visitors to School
  • Assist with Facility and Day-to-Day Operations
  • Submit IT & Facility Work Orders
  • Manage Master Calendar
  • Office Administrative Support
  • Manage student files
  • Manage licensing files
  • Grants Administration Support
  • Complete CACFP reports and intake forms
  • Perform Playground Safety Inspections
  • Routinely Perform Facility walkthrough and Checklists
  • Prepare Internal Weekly Communications
Required Qualifications & Experience
  • High school diploma or equivalent required; college degree and/or North Carolina Early Childhood Administration Credential (NCECAC) preferred
  • 2+ years of proven success in an administrative or assistant position, in a school setting preferred
  • Knowledge of preschool licensing and CACFP preferred
  • Bilingual – Spanish/English with excellent reading, writing, and verbal communications skills in both languages
  • Demonstrated cultural competency and sensitivity
  • Demonstrated knowledge of office management systems and procedures
  • Proficient in MS Office and knowledge of SharePoint/Teams
  • Excellent organization, planning, time management skills, and ability to multi-task and prioritize work
  • Demonstrated ability to handle confidential information with discretion
  • Experience working with economically marginalized families of diverse ethnic, language, and cultural backgrounds preferred
